How to switch from the free G Suite to Google Workspace

The end of April marks the end of the free version of G Suite. Although it has no longer been offered to new customers since December 2012 and is still being used diligently, the G Suite Legacy free edition will no longer be available as of May 1, as Google announced. For users, this means that they will have to switch to Google Workspace. This comes at a cost, but is worth it as it offers improved and additional features. Some challenges await during the migration, but they are easy to overcome.

In principle, it is possible to do nothing. If you wait until May 1 and do not upgrade, Google will automatically switch your account to a recommended subscription. A Workspace subscription is selected that takes into account the functions currently used. From July 1, 2022, Google will charge a fee for this, the amount of which depends on the subscription. To prevent the subscription from being blocked, payment information must be provided by that date. Those who do not want an upgrade can export their data, but it stands to reason that a lockout will involve additional effort and work interruptions.

The right version of Google Workspace

Google therefore recommends upgrading to a Workspace version now. Users can convince themselves of the attractiveness of Workspace free of charge until 1 July 2022. It is important to choose the most suitable version from the packages "Business Starter", "Business Standard", "Business Plus" and "Enterprise".

In any case, Google Workspace includes all the main services of the old, free G Suite version, for example Gmail, Drive, Calendar, Meet and Chat. In addition, users receive round-the-clock support and, depending on the version, access to other premium functions for security and effective state-of-the-art collaboration. The new version should be selected according to the services currently used as well as the functions the company wants to use in the future. In addition, the number of users should be taken into account. This is because Google Workspace Business versions are available for up to 300 users. For more users, an enterprise version is required.
