Google Workspace - suitable plans for every need

The portfolio of licences for Google Workspace, the former G Suite, is quickly grasped at first glance. It consists of a total of five plans in the two categories Business and Enterprise. But beyond that, there are other offers, among others specifically for the education sector. We give you an overview of the licences as well as prices and support you in choosing the right plan for your requirements.

The three plans in the Business family are aimed at companies with up to 300 users. All variants include all apps and services from Google Workspace that are needed for successful and efficient team collaboration.

Google Workspace apps and services

The plans differ in terms of the maximum number of participants in meetings and the available storage space as well as individual extended features. The Business Starter plan is suitable for small businesses with up to 30 users. A maximum of 30 GB of storage space is available in Google Drive per user. If you need more storage space, you can either book a chargeable add-on or switch to a higher plan. A maximum of 100 internal and external users can take part in a video conference in Google Meet with this plan.

Plan Business Standard raises the storage limit to 2 TB per user and also allows the use of shared repositories. A shared repository exists in the context of the company and is not tied to a single user as owner. This eliminates the need to migrate data should a user leave the company. Business Standard allows up to 150 participants in online meetings and comes with Cloud Search as an advanced feature. This allows you to search all data in your company's workspace using the same intelligent engine that Google uses for web search.

The largest plan in the family, Business Plus, further shifts the limit for online meetings to a maximum of 500 participants. Storage space per user increases to 5 TB. In addition, Business Plus brings a feature called "Vault", an archiving function that enables e-discovery and audit-proof storage of data if compliance or legal requirements demand it.

Google Workspace: Voucher codes and Partner Trial

You can book the business plans directly online from €4.68 per user and month. Companies with more than 300 users need one of the two Enterprise plans, available from €17.30 per month and user. We will be happy to help you choose the right plan and register. On request, we will also be happy to provide you with a Google Workspace voucher code or a Google Workspace Partner Trial so that you can test the workplace in the cloud free of charge and without obligation.

Google Workspace for large companies

The two plans Enterprise Standard and Plus are aimed at larger companies with more than 300 users. Both include the "Vault" function. Enterprise Plus also includes additional functions for increased information security and data protection requirements. These include S/MIME encryption for mail communication and advanced malware analysis of mail attachments in a sandbox.

In the Plus plan, you can choose in which geographical location Google stores your data. Furthermore, the Security Center provides you with a dashboard with detailed reports on the status of information security in your company. If desired, this includes audit logs showing the actions taken by admins.

Overview of Google Workspace licences
In addition to the Business and Enterprise families, Google offers several other Workspace licences.

Special case: Frontline licence

The Frontline licence is a special case for users who spend most of their working day not at a computer workstation, but in production or in direct contact with customers, but who still want to participate in digital communication in the company. The Frontline licence with a price of 4.30 € per user and month includes all services for this purpose, but with a reduced scope, which falls between the Business Starter and Standard plans. Frontline users each have 2 GB of personal storage space and can read data in shared repositories, but not write data.

Google for Education

The Google Workspace for Education plans are aimed at secondary schools and colleges. They support an unlimited number of users. The key data - number of maximum participants in meetings as well as available storage space - are comparable to the plans for businesses. Looking at the details, the Education plans differ mainly in additional functions specifically for the education sector and learning in virtual class groups.

The Education Fundamentals plan is free of charge as a basic offer. We will be happy to provide you with an offer for the larger Education plans. Education Standard allows up to 100 participants in online meetings, the optional Teaching and Learning Upgrade moves the limit to a maximum of 250 participants and Education Plus even allows up to 500 participants. Teaching and Learning Upgrade and Education Plus also include practical functions for digital teaching, such as breakout rooms, surveys and participation reports.

Use Google Workspace free of charge

Google Workspace for Non-Profits offers non-profit organisations a free entry into Google Workspace, but with a feature set below the Business Starter plan. In addition, we can offer Business and Enterprise plans at a discount to non-profits.

As reported in the blog post "How to switch from free G Suite to Google Workspace", Google has discontinued the previous free offer, the G Suite Legacy Free Edition. We are happy to help existing customers of this predecessor to Google Workspace upgrade to one of the paid business or enterprise plans.

A new option for free entry into the world of Google Workspace is available to companies that are looking for a solution for team collaboration and online meetings, but would first like to map their email communication via another service. In this case, teams with up to 25 users can sign up for the free Essentials Starter plan and use all services except Gmail.

Any number of teams with 25 members each from an organisation can do this independently of each other, although there is no central administration across all teams with the help of the Google Admin Console. Companies can obtain central administration and extended security functions by switching to the paid Essentials Enterprise plan or the Business and Enterprise plans mentioned at the beginning. We'll be happy to help you choose the upgrade path that's right for your business.

Cancel Google Workspace

If, contrary to expectations, you are not enthusiastic about the possibilities of the workspace, no further obligations follow from a free trial. If you would like to cancel your contract after a longer period of use, this is also no problem. In the flexible tariff with monthly billing, you can terminate your contract at any time at the end of the month, in the case of an annual tariff at the end of the agreed contract term. But anyone who has experienced the modern way of working in Google Workspace is usually quickly convinced and no longer wants to do without the services.
